An airport pickup booked by a host has two customers to keep informed: the person arranging it and the person arriving. The guest needs a simple arrival plan even when the host handles the quote and payment.
Keep the guest’s arrival message short
Send the guest the transportation company’s name, pickup instructions, trip contact and destination. Ask them to save the message before flying. The arranger can keep the full quote and reservation terms separately.
For an invited client, agree on what name should appear on any meeting sign. A sign should help the passenger recognize the meeting, not display unnecessary personal or company information. Confirm that an inside meeting is included if you request it.

Confirm the airport handoff
ATL’s ground transportation page explains prearranged limousine meeting options at the Domestic and International terminals. The guest’s reservation still needs an exact meeting plan.
Inside meeting and curbside pickup are different arrangements. Ask which is suitable for a first-time visitor, an older relative or a guest carrying several bags. Neither should be assumed merely because the booking says “airport limo.”
If the passenger needs assistance through the airport, coordinate that with the airline. Confirm where that assistance ends and where the chauffeur meeting begins. Do not promise gate access or wheelchair-equipped transport without specific confirmation.
Prepare for a phone or flight change
Check that the guest can receive a call or message after landing. An international phone may need roaming or airport Wi-Fi. Agree on a backup contact method with the company before travel rather than improvising after arrival.
Ask the guest or their travel coordinator to report a new flight number, a changed date or a different airport. Routine flight tracking does not replace those updates.
For privacy, the driver needs the information required to perform the trip. A guest’s passport number, confidential meeting agenda or unrelated personal information should not be added to the transport notes.
Choose the vehicle for the actual arrival
A single executive with one bag has different needs from a family with several cases. Review the listed fleet and give a complete bag count before choosing the category.
Tell the company if the guest will go straight to a meeting instead of a hotel. If there is an extra stop to collect a colleague, include it in the request. A hotel transfer should not quietly become a multi-stop business itinerary.

Ask the host’s final five questions
A complete quote should explain the vehicle, meeting method, included waiting and relevant fees. ATL Limo’s indexed airport page states a 30-minute grace period from scheduled pickup; confirm how the pickup time and later waiting are handled for this guest.

- Can the company contact the passenger directly?
- Who is the backup contact if the host is unavailable?
- Does the destination have a particular guest entrance or access instruction?
- Who may approve a changed destination or extra stop?
